General Terms and Conditions of BTTC Travel
Booking:          

Bookings and inquiries must be submitted in writing and can be directed to tour@bttctravel.com or +976-99080061

Late Bookings:

Last-minute bookings (made within 30 days prior to the tour’s start date) are subject to availability. Bookings made 16–30 days before the start of the tour will incur a $25 per person surcharge. Bookings made 15 days or fewer before the start of the tour will incur a $50 per person surcharge.

Tour price:

All tour prices are listed in US dollars and are based on tariffs and exchange rates in effect at the time of publication.

Payment:
  • The client must pay 30% of the total amount to confirm the trip and the remaining 70% at least 30 days prior to the start of the services.
  • The invoiced amount for each tour must be paid via bank transfer to the supplier’s account. The client is responsible for all banking and postal fees.
  • Payments should be made in US dollars or Euros. Other payment methods may be used if agreed upon in writing by both parties.
  • BTTC TRAVEL will send invoices via fax or email, and the invoiced amount must be paid within one week.
Cancellations by traveler:

The loss of payments applies to all canceled reservations. The cancellation date is defined as the date BTTC TRAVEL receives the written cancellation notice. The forfeiture of payments is as follows per person:

  • 46 or more days prior to the tour start date: 10% of the total package price
  • 31–45 days prior to the tour start date: 30% of the total package price
  • 16–30 days prior to the tour start date: 80% of the total package price
  • 15 days or fewer, including the arrival day: 100% of the total package price

No refunds will be issued if clients voluntarily leave a trip for any reason after it has begun. Refunds for clients who are involuntarily required to leave a trip will be at the sole discretion of BTTC Travel. Additionally, no refunds will be provided for any accommodation, transportation, sightseeing, meals, or services that are not utilized.

Cancellations by BTTC Travel:

BTTC Travel reserves the right to cancel any trip before it is guaranteed to run but will not cancel a tour less than 60 days prior to departure. BTTC Travel also reserves the right to cancel any trip, including a guaranteed trip, at any time before departure due to terrorism, natural disasters, political instability, or other external events that make it unfeasible to operate the planned schedule.

If BTTC Travel cancels a guaranteed group adventure trip, you may choose between an alternative trip or a full refund. However, the company is not responsible for any incidental expenses you may have incurred due to your booking, such as costs for visas, vaccinations, non-refundable flights, or loss of enjoyment.

If the alternative trip selected is of lower value than the originally booked trip, you are entitled to a refund of the price difference. If the alternative trip is of higher value, you will be required to pay the difference in price

No Show:     

If a client is a “no-show,” no refunds, either in full or in part, will be provided for unused services included in the program.

Refund policy:

After the tour has commenced, no refunds, either in full or in part, will be issued for unused services included in the program.

BTTC Travel is not responsible for any additional expenses incurred by clients due to circumstances beyond its control, such as war, civil disturbances, fires, floods, extreme weather conditions, or acts of the government.

BTTC Travel will not provide compensation for program changes caused by delayed air or train services, airline schedule changes, or force majeure events (including acts of war, strikes, natural disasters, pandemics, etc.).

Hotel accommodations:

Hotel accommodation is based on two adults sharing a twin-bedded room (double occupancy). Customers traveling alone are required to pay a single supplement rate. A single room is subject to availability upon prior request and comes at an additional cost. If the hotel listed in the brochure is unavailable, a similar category hotel will be substituted without prior notice.

Baggage:

Baggage is at the owner’s risk throughout the journey. The client is responsible for any excess baggage charges and insurance. When traveling outside of Ulaanbaatar, one carry-on bag per person is permitted, and any excess baggage will be stored at the hotel.

Shopping:

BTTC TRAVEL does not accept responsibility for the value, quality, validity, or authenticity of any goods purchased during the tour, nor for any mailing, freight, or shipping arrangements. Any after-sales correspondence must be directly handled between the customer and the shops.

Local laws:

All participants in tours operated by BTTC Travel are expected to comply with the laws and regulations of Mongolia. Failure to do so will relieve BTTC Travel of any obligations under the contract.

Complaints:

If a client has a complaint about any of the tour arrangements, the client must bring it to the attention of the tour leader, tour guide or other representative at the time so they may use their reasonable endeavors to rectify the situation. Failure to complain at the time will affect the Client’s ability to claim compensation from BTTC Travel.  Should the problem remain unsolved a complaint must be made in writing to BTTC Travel within 30 days of the completion of the tour. BTTC Travel will not pay any compensation if there has been no fault on the part of the company or its partners and the reason for the failure in the tour was the client’s fault, or due to the actions of someone unconnected with the tour arrangements, or if the circumstances could not have been reasonable foreseen or avoided by the company or its partners.
